Position

Provides entry level administrative support and assistance to Case Management, Clinical, Early Intervention, Resource Development, Emergency Management & Facilities Department, Information Technology (IT) staff and agency departments, as needed.

If Assigned to IT or Emergency Management and Facilities Department

  • Will be expected to pick up, move and transport office equipment within the office, as well as to other NBRC offices, i.e. monitors, computers, etc. Must be able to lift a minimum of 30 lbs.
  • This position will be expected to support the Napa and Santa Rosa offices via a physical presence and will require regular travel between offices.
  • This position will be primarily based in the office; however remote work may also be occasionally available.

Examples of Work

Monitor and triage the Facilities’ email in box for all NBRC occupied premises, to ensure requests are addressed or resolved promptly. Respond to basic level Facilities email requests, reviewing escalated requests with the Emergency Management and Facilities Coordinator and communicating completion of tasks. Provide administrative support for the Santa Rosa office parking garage in coordination with the Emergency Management and Facilities Coordinator. Facilitate NBRC’s seating reservation software, making changes, running reports, and coordinating with supervisors to assign seats for NBRC employees. Assist Department and Human Resources with maintenance and management of alarm/fob system online portal and employee access.  Maintain supplies and equipment for the Department. Track implementation of ergonomic requests made to Emergency Management and Facilities Department.  Work with the Emergency Management and Facilities Coordinator on implementing Department of Developmental Services initiatives related to Disaster Preparedness.   Access and update vendor files in the agency’s electronic file storage system. May be assigned to support other staff members/supervisors and assist with phone and receptionist backup duties.  Will be expected to complete a variety of typing/data input, provide scheduling assistance, and complete filing, copying, FAX and mail duties.

Minimum Education/Experience

Equivalent to graduation from high school; three years paid clerical experience.

OR

Graduation from business school or other two-year post high school secretarial program and two years experience.  Must know Microsoft Word have the ability to type 50 WPM.

Special Requirements

Fluency in a language in addition to English is desirable and may be required.

A valid driver’s license and minimum legal automobile insurance are required and the ability to provide personal automobile transportation during working hours and for after-hours emergencies or access to another form of reliable transportation which meets these minimum requirements.  This position will be primarily based in the office; however remote work may also be available.

Salary

$41,124 – $55,164 with opportunities for 5% increases annually
